A new set of rules regarding personal privacy came into effect May 25, 2018, in the EU: the General Data Protection Regulation (GDPR). As a human capital management consultancy we do business with everyone in the world including Europe, so Ascension Associates is abided by HK privacy rules as well as the EU one. 

GDPR is brand new legislation, so it's natural that there's still a lot open to interpretation, and clarification. Nonetheless, Ascension Associates would like to ensure everyone that we work with, no matter clients, candidates, suppliers or business partners understand how we deal with personal data. 

In plain English without boring people to death and to give a clear picture to everybody , we would explain in the below how we collect, use, store your data and your rights to it.

 

First of all who are we? 

Ascension Associates Limited is headquartered in Hong Kong at Level 20, Cityplaza 3, Quarry Bay, HK. We provide a number of human capital related services for our clients. This includes but is not limited to: executive search, market analysis projects, consulting projects and due diligence. As such the company gathers personal data to carry out these services to its clients. Personal information is stored, processed and transferred at various stages of these services both during and sometimes after client engagements are completed.

How do we collect your personal data?

We may collect personal data about you from the following sources:

  • From you directly or through job advertising database or applications through job advertising platforms

  • Publicly available sources 

  • LinkedIn or other social networking sites

  • Corporate websites

  • References – by word of mouth

How do we use your personal data?

We will hold, use and disclose your personal information, for our legitimate business purposes including: 

 

  1. to provide our services to you;

  2. to maintain our business relationship, where you are a user of our website, a client or candidate;

  3. to match your details with job vacancies, to assist us in finding a position that is most suitable for you and to send your personal information (including sensitive personal information) to clients in order to apply for jobs;

  4. to retain your details and notify you about future job opportunities other than the specific role for which you have contacted us;

  5. to answer your enquiries;

  6. to direct-market products and services, advise you of news and industry updates, events, promotions and competitions, reports and other information. Before we do so, you will be given an option to opt-out of such communications and an option to unsubscribe will also be provided with each communication;

  7. to fulfil contractual obligations with our clients;

  8. to release personal information to regulatory or law enforcement agencies, if we are required or permitted to do so;

 

We may process, in accordance with local regulations, certain sensitive personal data (known as special category data in GDPR) where you include it in information you send to us e.g. if you include information about your health, religion or ethnic origin in the CV you send to us.  We may also be required to conduct a criminal records check against your details.  We have processes in place to limit our use and disclosure of such sensitive data other than where permitted by law.

How do we store your personal data?

Your personal data, in our case mostly your CV will be stored in our database, and will be accessible by staff directly employed by Ascension Associates Limited. The length of time we will hold or store your personal information for will depend on the services we perform for you and for how long you require these.  As we often support candidates with placements over many years, and potentially throughout their careers, the purpose for which we retain candidate data is often an ongoing purpose.  We conduct regular data-cleansing and updating exercises with our candidates to ensure that (a) the data that we hold is accurate and (b) we are not holding data for too long.

Your rights

By law you have certain rights available to you regarding your personal data. You can check with your own country regulator.

These include:

  1. The right to be informed – you have the right to know how we use your data and your rights in relation to the use of your data. That is why we’ve provided this policy.

  2. The right to rectify – you have the right to have your information corrected if it is inaccurate or incomplete.

  3. The right to erase – this enables you to request the deletion or removal of your information where there is no compelling reason for us to continue using it. There are exceptions to the right to erasure.

  4. The right to object to processing – you have the right to object to certain types of processing, including processing for direct marketing, including for the purposes of potential opportunities.

  5. The right to withdraw consent – if you have given your consent to anything we do with your personal data, you have the right to withdraw your consent at any time (although if you do so, it does not mean that anything we have done with your personal data with your consent up to that point is unlawful). This includes your right to withdraw your consent with us for marketing purposes.

 

Access to your information:

You may request information about the personal data we hold. Subject access requests should be sent to info@ascension-associates.com. Handling of these requests will be free of charge but we may charge a reasonable fee if we receive repeated or excessive requests or further copies of the same information. We will respond within 30 days of submitting the request.
